1. Who we are (Data Controller)
The Data Controller is Physiotherapy & Rehabilitation Clinic Ltd (company number 06811100), trading as “Phil the Physio” and “Urban Body Physiotherapy & Rehabilitation”, based in England.

Where we use thirdparty tools to handle data on our behalf (for example, our quiz, CRM and email platforms), those companies act as Data Processors under our instructions.
2. What personal data we collect
2.1 Information you give us directly
your name
your email address
your phone number (including WhatsApp number, if you opt in)
your postal address (if you provide it)
the answers you give in our quiz, forms, questionnaires or surveys
information you share when you enquire about or book a consultation
the content of messages you send us (email, WhatsApp, social media, contact forms)
We do not store your payment card details. Any payments are handled securely by Stripe.
2.2 Information collected automatically
When you use our websites we may collect:
IP address and approximate location
device and browser type
pages viewed, time on page and navigation paths
clicks and engagement
the source that referred you to us
This is collected through cookies and similar technologies (see Section 10).
2.3 Healthrelated information (special category data)
Some of the information you give us — particularly in the quiz, and when you enquire about treatment — may relate to your physical health, mobility, strength, pain or symptoms. Under UK GDPR this is special category data, which has extra protection.
Because it has extra protection, we only collect and use this information with your explicit consent — for example, when you take the quiz and ask us to send you your report and related guidance. We do not create or keep clinical treatment records through this website or quiz.
You can withdraw your consent at any time (see Section 8).
3. The tools and service providers we use
We use trusted thirdparty platforms to run our website, quiz and communications:
ScoreApp — hosts our quiz, generates your personalised report, and collects the contact details and answers you provide.
GoHighLevel (GHL) — our CRM and marketing platform, used for landing pages, enquiry and optin forms, email and WhatsApp followups, marketing automation, and hosting our video content (including The Vault).
Stripe — processes any payments. (Card details are never stored by us.)
Google Analytics — to understand how our website is used.
Meta Pixel (Facebook / Instagram) — to measure and, where you consent, target our advertising.
GoDaddy — domain registration, DNS and website hosting.
Consultations are arranged through an optin form in GoHighLevel, after which we contact you to arrange a suitable time. Each provider has its own privacy practices and is required to protect your data to UK GDPR standards.
4. Our lawful bases for using your data (UK GDPR Article 6)
Consent — for marketing emails and WhatsApp messages, the quiz and your report, and nonessential cookies. You can withdraw consent at any time.
Legitimate interests — for responding to enquiries, improving and securing our website, and understanding how our content performs (where this does not override your rights).
Contract — to provide a service you have booked, and to communicate with you about it.
Legal obligation — for tax, accounting and other legal or regulatory requirements.
For healthrelated information (such as your quiz answers), we rely on your explicit consent under Article 9 UK GDPR. See Section 2.3.
5. Email and WhatsApp marketing
If you opt in, we may send you helpful emails and WhatsApp messages — tips, resources, and information about our services.
We only send these where you have given consent or where the law otherwise allows.
Every email includes an unsubscribe link.
You can stop WhatsApp messages at any time by replying STOP or telling us you wish to opt out.
Opting out of marketing does not affect messages we need to send you about a service you have booked.
6. How we use your data
to deliver your quiz results, report and any resources you request
to respond to your enquiries and provide support
to arrange and manage consultations and services
to send you marketing communications you have consented to
to understand and improve our website, content and funnels
to keep our systems secure and prevent fraud or misuse
to meet our legal and regulatory obligations
7. Sharing your data
We do not sell your personal data.
We share data only with:
the service providers listed in Section 3, acting on our instructions
professional advisers (such as our accountant, insurer or solicitor) where necessary
regulators or authorities where we are legally required to do so
All processors are bound by confidentiality and dataprotection obligations.
8. Your rights
Under UK GDPR you have the right to:
access the personal data we hold about you
have inaccurate data corrected
have your data erased (in certain circumstances)
withdraw consent at any time
object to, or ask us to restrict, certain processing
request a copy of your data in a portable format
complain to the Information Commissioner’s Office (ICO)
To exercise any of these, email info@philthephysio.com. You can also contact the ICO at ico.org.uk or 0303 123 1113.
9. International transfers
Some of our providers store or process data outside the UK. Where they do, we make sure appropriate safeguards are in place — such as the UK International Data Transfer Agreement (IDTA), Standard Contractual Clauses (SCCs), or an adequacy decision.
10. Cookies and tracking
Our websites use cookies and similar technologies to operate the site, remember preferences, understand usage, and — where you consent — measure marketing performance. When you first visit, you will see a cookie banner allowing you to accept, reject or manage nonessential cookies. You can also control cookies through your browser settings. [If you publish a separate Cookie Policy, link it here.]
11. Data retention
We keep personal data only for as long as we need it:
Once no longer needed, data is securely deleted.
12. Security
We use appropriate technical and organisational measures to protect your data, including secure hosting, encrypted connections, access controls and reputable thirdparty providers. No online system is ever completely secure, so we cannot guarantee absolute security, but we take protecting your data seriously.
13. Children
Our website, quiz and content are intended for adults and are aimed at people over 50. They are not directed at anyone under 18, and we do not knowingly collect data from children. If we learn that we hold such data, we will delete it.
14. Thirdparty links
Our content may link to other websites. We are not responsible for the content, security or privacy practices of those sites, and we encourage you to read their privacy policies before sharing any information.
15. Changes to this Policy
We may update this Policy from time to time. The current version is the one published on our website, and the “last updated” date above shows when it last changed.
